Trip planning Coordinator

Part-time position

About your role

The Planning Coordinator role is a remote, part-time position (20-25 hours/wk) with the opportunity to come on full-time. Your role is to research, plan, and help launch new trips for FTLO, as well as onboard new suppliers and secure preliminary rates and allocations. Your position is key to the Operations team in laying the foundation of our trip itineraries and our supplier relationships. 

Important notes: 

  • Experience working in operations for a tour operator or destination event company is preferred, and a love for travel is essential.

  • This position is fully remote, but a primary place of residence in EST, GMT, or CET time zones is required. You must have legal authorization to work and be paid in your country of residence.

You’re comfortable communicating with people from all cultures and don’t mind working odd hours to accommodate different time zones. You live at the intersection of organization and creativity, have an eye for detail, and are always able to find a solution.

Here’s what you'll be doing:

Help with the build-out of new itineraries:

  • Shepherd new trips through the development process and ensure they are launched on time

  • Research options for DMC suppliers, accommodations, activities, transportation, local experts, etc. for all new trips

  • Collaborate with the Experience team to design the best travel experience possible

  • Secure rates and allocations according to pre-established budget and date preferences

  • Prepare preliminary trip itinerary and budget 

  • Collaborate with the Marketing team to ensure new trips are marketed correctly  

  • Onboard and build relationships with new suppliers

  • Assist in due diligence on new local partners

 

Support operations with ongoing trips:

  • Research and conduct outreach to new suppliers for changes to current trips

  • Implement itinerary changes to improve quality based on customer and Trip Leader feedback

  • Other duties as assigned

You are:

  • Familiar with American hospitality standards

  • Comfortable with spreadsheets, budgets, and business math

  • Entrepreneurial-minded with strong problem-solving skills

  • Extremely detail-oriented and organized

  • An efficient multi-tasker

  • An excellent verbal and written communicator

And:

  • You love travel and the FTLO mission

  • You have an eye for trends and new destinations

  • You have international travel experience

  • Group travel planning or DMC/supplier experience is highly preferred

  • Start-up experience is preferred

  • At least 2-3 years of work experience is required, preferably in a similar role

  • Fluent English required; Spanish and/or Italian fluency highly preferred

  • Permanent residence in EST, GMT, or CET time zone and legal authorization to work and be paid in your country of residence required
